一、 Event Rules & Guidelines
1. Organizations
1) Presented by: Zhejiang Xtreme Runner Sport Planning Co., Ltd.
2. Registration Guidelines
1) Registration Time:
From 10:00 on June 10th to 18:00 on September 10th, 2019
2) Registration Fees:
a) WLM/29KM, 399 Yuan per person
b) FIL/15KM, 299 Yuan per person
c) OTT/9KM, 199 Yuan per person
d) WAF/9KM, 299 Yuan per person
3) Age Requirements:
a) All 29KM division entrants shall be at least 16 years old (born before October 20th, 2003) and younger than 70 years old (born after October 20th, 1949) by race day.
b) All 9KM/15KM division entrants shall be at least 14 years old (born before October 20th, 2005) and younger than 70 years old (born after October 20th, 1949) by race day.
c) All entrants under the age of 14 must be accompanied by a guardian or legal agent.
d) All entrants under the age of 18 must have their Informed Consent completed/signed by a guardian or legal agent.
4) Physical Requirements:
a) All entrants shall be fully aware of their physical conditions and ensure that they are in good health and have no health concerns such as heart disease. Otherwise, do not register. The organizers will not be held responsible for persons concealing such conditions.
5) Others:
a) Please be sure that all of the personal information that you have provided is correct while registering. Problems (such as invalid insurance coverage) caused by incorrect personal information shall be borne by the entrants themselves.
b) Registration fees are non-refundable; race numbers and entries cannot be transferred to another person or another event. No exceptions.
c) The Organizing Committee has the right to decide whether to approve the registration according to the entrant’s own conditions.
3. Check-In & Packet Pick-Up
1) Time & Place: Please stay updated with all our news.
2) Valid Identity Certificate: Entrants must bring their valid identify certificate (ID cards, passport, etc.) in original to check in and pick up the race packet.
3) Packet Pick-Up Authorization: The representative must bring his/her valid ID in original and a copy of the valid ID of the entrant (written with “I agree to authorize XXX to pick up my race packet and sign my Informed Consent” and provided with clear “signature by the entrant”) to check in and collect the race materials.
4) Informed Consent:
a) All entrants shall carefully assess the risk of the event and voluntarily sign an informed consent when receiving the packet, declaring that they voluntarily participate in the race and assume corresponding responsibilities during the event.
b) The representative must sign the Informed Consent on behalf of the entrant, declaring that the representative is authorized by the entrant and voluntarily assumes the consequences that may be incurred by the entrant during the event.
c) The Organizing Committee will purchase the event insurance for all entrants before the race and provide assistance or relief as much as possible with the scope of their capabilities. However, it does not assume any responsibility beyond the scope of insurance claims during the event.
4. Rules and Regulations
1) Timing
a) Chip timing is adopted in all events. The entrants are required to wear the timing chip provided by the Committee and pass all timing checkpoints in order to get valid results.
b) All entrants must stay on the race course defined by the organizers. Referees will be randomly set up along the course. Entrants who intentionally shorten the route of the race (“course-cutting”) will be disqualified.
2) Closing Time
a) The hydration stations will gradually stop functioning after the closing time and will be dismissed after the arrival of the cleaning staff.
b) Following the last entrant with a valid result, the cleaning staff will clean up and retrieve the road signs in time and dismiss the traffic control staff and referees along the route.
c) Entrants who fail to arrive at the hydration station, time checkpoint, or finish line within the closing time will be deemed to have automatically waived their qualification (automatically marked as DNF in the system). Those who refuse to follow the instructions and insist to proceed shall assume all consequences.
d) When force majeure such as bad weather or political factors occurs, the closing time may be temporarily adjusted (see Others b).
e) The specific closing time is subject to the time of the firing of the starting pistol. See the table “Hydration Stations” for details.
3) Baggage
a) Entrants can store their baggage at the start area according to their division or number. After the race, entrants can pick up baggage at the storage area using their numbers.
b) Valuable belongings (such as mobile phones, ID cards, computers, etc.) shall be properly kept by entrants themselves and the Organizing Committee shall be not responsible for any loss.
4) Sportsmanship
a) All entrants shall not litter, destroy, or harass any plants or animals along the route.
b) Entrants shall watch out for the other route users (runners, tourists, etc.), avoid dangerous behaviors such as collision and improper use of trekking poles.
c) If other runners are injured or feeling sick, please lend a helping hand and contact the Organizing Committee for medical aid.
d) Entrants shall follow the traffic rules and be careful especially when crossing the road or passing through highway sections.
5) Others
a) If the entrants miss the race for any reason, they can apply to the Organizing Committee for the mailing of the race packet within three days after the event. The Organizing Committee will send the race packet via express within 10 working days after receiving the SMS application, cash on delivery. Send text message to: 18857113333
b) The Organizing Committee reserves the right to modify the rules, routes or other arrangements of theevent as appropriate, and to terminate the event or change the course in time when force majeure such as bad weather or political factors occurs.
c) The Organizing Committee has the right to use all the film and television material produced by the entrants in the event. The copyright of such materials (including portrait rights) is owned by the Organizing Committee and can be used in the commercial promotion related to the event.
5. Results & Awards
1) Results
a) Entrants who finish the race within the closing time can log in to our WeChat public platform [XR_China] to check the results, download and print the race completion certificate.
2) Awards for WLM/FIL
a) Prizes: The Top 3 male and female finishers will receive the winning prizes (to be announced in later updates) and trophies will be awarded.
b) TOP 30 Special Award for WLM: The Top 30 finishers in the WM division will receive a gold medal with a symbol of honor (with different engraving and ribbons).
c) Completion Award: Entrants who finish the race within the closing time can get a medal and a gift for the race completion.
3) Awards for OTT/WAF
a) For OTT/WAF, rankings and prizes are not available, but the timing services are provided.
b) Completion Award: Entrants who finish the race within the closing time can get a medal for the race completion.
6. Punishment
Entrants who commit the following violations listed below will be disqualified, punished accordingly, and reported to Zhejiang Marathon and Road Run Association.
1) Using false age, race number, or ID information during registration.
2) Carrying the timing chip of another entrant or carrying two or more timing chips to participate in the race.
3) Not starting based on the prescribed order, or checking in and starting in the non-registered division.
4) Violating rules at the start.
5) Completing the race by multiple runners.
6) Leaving the defined race course, course-cutting, or using other means of transport.
7) Failing to pass the finish line in the prescribed route, carrying one’s own race number.
8) Disqualified or unfinished runners who violate rules to collect souvenirs by illegally or repeatedly passing the finish line.
9) Disobeying the command of the working staff, interrupting the event, or causing disturbances.
10) Other violations of the rules.
11) Using false information to obtain the entry, or transferring the entry and race number to others after registration. Both the applicant and runner are in violation of the rules and shall assume all consequences during the event.
7. Insurance
The Organizing Committee will insure all entrants and staff members of personal accident insurance. All entrants and staff members must provide correct personal identify information.
8. Others
1) Unspecified matters will be updated later.
2) The right to interpret the rules of this event belongs to the Organizing Committee of 2019 West LakeTrail Running.
